The Role

We are currently seeking an experienced and proven Executive Assistant to support the EGM Wealth based in Sydney. This role will provide a high level of administrative support to the EGM and will also assist the leadership team and wider Wealth team when required. This role is integral to the smooth running of the department, and to maintaining a positive workplace culture.

Key responsibilities in this role will include:

  • Relieve the EGM & leadership team of routine work
  • Extensive diary and email management
  • Processing of monthly credit card statements
  • Organising purchase orders and processing invoices
  • Coordination of team events and functions
  • On-site support of regular Board Meetings
  • Management of office space requirements
  • Booking travel arrangements
  • Prepare reports and materials, including confidential information and distribute accordingly
  • Coordinate meeting agendas, minutes and follow up actions for all EGM meetings
  • Adhere to schedules, deadlines and milestones required for achievement of business unit objectives
  • Ensure the data in relevant people management systems is correct for the division
  • Ad hoc administrative tasks as required.

Skills & Experience

  • Minimum 3 years EA/PA experience supporting a senior manager within a corporate environment
  • Superannuation and/or wealth management industry experience and knowledge beneficial
  • Knowledge of Suncorp systems advantageous
  • Advanced skills in core Microsoft products: Word, PowerPoint, Excel and Outlook (mandatory)
  • Excellent interpersonal, written and verbal communication skills
  • Proven ability to work in a deadline-driven environment and remain calm under pressure
  • Possess a high attention to detail, good judgement and confidentiality
  • Exceptional time management/organisational skills
  • Ability to work independently and manage/prioritise workflow with minimal supervision
  • Uses initiative and suggests and implements continuous improvement opportunities for the division
  • Able to adapt to changes in systems and processes readily
  • Ability to seek out information and break down problems and situations, providing options and alternatives, and follow through.
