The candidate will be responsible for supporting Global Real Estate Department for Australia and New Zealand offices. The role will be focused on managing, operating and maintaining the site facilities to ensure there is sustainability for management, staff and other stakeholders. This is also a hands on position where experience with MEP is necessary to succeed in this role and supporting the project team for onsite coordination to ensure project are delivered on-time.

The candidate will report to the APAC Facilities and Operation Manager and assist in all aspects of daily operations:

Facilities Management
1. The main point of contact for overall office facilities operation in Australia and New Zealand.
2. Manage multiple vendors of hard skills to deliver services on time and within budget
3. Manage and prepare budgets, annual planning, perform cost control for the office operations
4. Financial administration inclusive of invoice processing; code and allocate to responsible Cost Centres,
5. Monitor and provide reports including but not limited to operation trackers, site inspection and energy consumption
6. Ensure compliance of local legislation and regulations
7. Manage vendor procurement processes in accordance with agreed procurement guidelines ; Involve and work with internal Procurement team and follow procurement best practices
8. Establish and maintain a positive rapport with internal and external stakeholders.
9. Collaborate closely with our Enterprise Service Team to provide a productive and welcoming working environment to our employees.
10. Manage office renovation projects, office relocation projects
11. Asset management and space planning
12. Provide logistic support for any office event
13. Provide support where necessary for any planned and unplanned out of hours working.

Project Management
1. Assist in new office construction, hand-over and defect follow- up.
2. Support in relocation, renovation and reinstatement projects as key stakeholder and business operator.
3. Coordinate with project team on facilities advance planning and incorporation into design by participating in project call.
4. Support the design drawings, project timelines, workscope, document management and office standards throughout the lifecycle of the project
5. Support on project procurement process and ensure the smooth project initiation
6. Liaising with user's feedback on real estate related matters
7. Perform other real estate related duties as assigned
  • Degree holder with real estate background preferred, candidates with MEP background preferred.
  • Meticulous, organized, good negotiator with strong hands-on mentality and able to work in a fast paced environment, including having flexibility to adjust and react to changing priorities
  • Able to travel within the region and provide on site real estate support
  • Have an ability to be a quick problem solver and learn how to manage a range of internal and external parties.
  • Proactive, fast learner and ability to multi-task
  • Ability to work independently yet team player to work across different department
